Add AIC Services

Modified on Wed, 21 Feb, 2024 at 3:56 PM

  1. To add AIC Services, it is necessary to select the client first by searching for a client profile under Client > Client Listing on the left menu bar.

  1. On the client listing, scroll down to the client’s name or search for the client.

  2. Upon searching for the client’s name, click on the client’s name to view the client’s profile.

  1. Select the 'AIC Services' icon

  1. Select the 'AIC Services' tab

  1. Select 'Add AIC Service' button

  1. Enter the necessary information and click Submit. New AIC Service will be created and stored under AIC Services.

  1. Important Fields would include:

    1. AIC Reg No

      1. Note: This AIC Reg No must match the Reference ID keyed in the ILTC portal so that bill submission to ILTC can be successful.

    2. Services Name

    3. Start Date

    4. End Date

    5. Service Days

    6. Status:

      1. If the service agreement has not been completed yet for the client, keep this status as ‘Pending’, so that the information can be auto-pulled into the Service Agreement.

      2. If the service agreement has already been completed and signed off, user can update the status as ‘Active’ so that service attendance can be taken.

Note: While Episode No. is not mandatory, this field is required to be filled in so that bill can be created and submitted to ILTC successfully. Episode No. keyed in must match the auto-generated Episode No. generated by the ILTC portal for that particular service.

While Start Date, End Date and Service Days are not mandatory on the system, there is some system logic behind it.

Logic 1: The status of the AIC Service will be auto-updated as 'Inactive' if the end-date has passed.

Logic 2:  If the same service (e.g. Home Medical) is newly added, the Start Date of the new ‘Home Medical’ service should be after the previous ‘Home Medical’ Services End Date. See example below.

If the End Date of the first ‘Home Medical’ service is 31-Oct.

The user will not be able to Add AIC Services for ‘Home Medical’ before 31-Oct-2021 as shown below. But will be able to add for other services that are not ‘Home Medical’.

Logic 3:  The service days are linked to the ‘Client Attendance’ module on the left navigation bar. It is also linked to the Take Daily Temperature module if the user wants to take service attendance too.

For SCC to note, It is also linked to the ‘Service Attendance’ module on the CARES4CAREGIVERS Mobile app. (See CARES4CAREGIVERS app manual)

The user is only able to take attendance for the service, on days selected that were selected as the service days. But if the client had turned up on his/her non-service days, the user can bypass this logic by ‘Add Consumed Service’ instead.
